Moreflow allows you to allocate supplier invoices and expense reports to better understand your margin.

The allocation can be made to customer/supplier invoices, tasks (and projects), interventions, and the Factory module. It is possible to total the allocated amounts and the difference between the invoice amount and the allocations on the native lists.

Operating Principle

The purpose of the module is to allow you to allocate a portion of the amount from a supplier invoice or expense report to other items in order to spread the cost.

Example:

  • An external service provider completed a project for two of our clients. Once these projects are completed, they submit the invoice for their services, which we enter in the usual way.
  • At the same time, we invoice both clients for the work performed by the service provider and keep the references for both invoices.
  • On the service provider's supplier invoice, we allocate the estimated amount for each service between the two invoices using the breakdown tab.
  • If we now go to the customer invoice breakdown tab, we see the breakdown and an estimate of the difference corresponding to the margin achieved.

Note: The process for itemizing expenses is the same for expense reports (for example, if an employee works for a client, it is possible to itemize the expense report based on the intervention and/or the client invoice).

Creating a ventilation

To create a breakdown, go to the supplier invoice or expense report you wish to distribute.

The information to enter is as follows:
  • the type and reference of the item (e.g., invoice/FA2506-0250)
  • the breakdown date (current date by default)
  • the breakdown amount excluding VAT
  • the associated VAT rate
  • a service quantity (for informational purposes)
  • a text containing additional information

Once the breakdown is complete, a list displays all the breakdowns made from the supplier invoice or expense report, specifying the details.

It is not possible to modify the ventilation created, but it is possible to delete it and create a new, updated one if necessary.

Once the breakdowns are complete, they can be viewed on the recipient document. There is a breakdown table for supplier invoices and another for expense reports.

Ventilation Column in Native Lists

From the native lists of rooms that can receive ventilation, you can view ventilation-related information.

As with other native fields, simply select the column you want to display.

Please note, the difference between the total amount of the part and the breakdown is only available on the invoice list.

Allocation Tracking Lists

MoreFlow adds an allocation tracking page to the expense report and supplier invoice menu.
