The Portofolio module allows the mass modification and assignment of sales representatives to third parties, products/services, users and contacts to groups and categories.

Presentation

Features

The Portofolio Module allows the rapid assignment of:
Assignments of sales representatives - Products/services, third parties, users and contacts to categories
Distribution of users - Users and contacts to groups
Breakdown of categories - Users to third parties as sales representatives

Settings

Activation

To activate the module, open the module list page from the Home > Configuration > Modules/Applications > Patas-Tools > Portofolio menus.

To activate the module, simply click on the button indicated in the image.

Configuration

The module configuration is done from the modules administration page accessible via the Home > Configuration > Modules menus by clicking on the icon indicated in the image.

The first configuration section allows you to add scoring information on status changes.

The second configuration section is linked to the reporting screen, which will be explained later in the documentation.

The last parameter section allows you to activate additional functions of the module:

  • Adds a button on the third party's file allowing it to be cloned (a reference to the old parent third party is kept)
  • Activates a function allowing the salesperson associated with the customer to be added as an email recipient
  • Activates a function adding the salesperson associated with the customer as an assigned person when creating an appointment


Permissions

Access to the module's features can be restricted to existing users and groups or those created after the module's installation. Click on the icon indicated in the image to add a permission.

User and group permissions
Access to the module's features can be restricted to users and groups, from their profile then Permissions tab, according to the permissions listed in the image.
Default Permissions
The default permissions (Home > Users & Groups > User > Permissions), granted to any user created after the module installation, if not added to a group, are listed in the image.

Usage

Portofolio features are accessible from the main menu tab Patas-M Tools.

Your secondary menu then presents the following menu entries:
- Portfolio: The main entry allows the assignment of users to third parties as salespeople.
- Salesperson Assignment: Allows access to the Sales Portfolio Manager.
- User Distribution: Allows advanced management of user groups.
- Category Breakdown: Allows advanced management of native categories
- Project Assignment: Allows access to projects assigned by the Portofolio module.
- Task Assignment: Allows assigning tasks to a specific profile.

Has a session dedicated to Reports:
Outstanding by customer: Allows to access the Management of outstanding invoices through a list of Third Parties as well.
Outstanding by salesperson: Allows access to the Management of outstanding invoices listed by salespeople.
Orders by Salesperson: Allows access to current orders by salespeople.

Assigning users to the third party as salespeople

From the Patas-M Tools > Portfolio > Salesperson Assignment entry, display the existing assignments between your users and your third parties.

Filtering affected third parties and commercials
Use the filters to refine your search for third parties.
Click the "Search" button to refresh the results page.

Assigning sales representatives to third parties

From the Patas-M Tools > Portfolio > Sales Representative Assignment entry, display the existing assignments between your users and your third parties.

Then check/uncheck the boxes of the users to assign as sales representatives to your third parties.

Assigning users to user groups

From the Patas-M Tools > Portfolio > User Distribution entry, display the existing assignments between your users and groups.

Assigning items to categories

From the Tools entry Patas-M > Portfolio > Category breakdown, display the page to select the items to assign to categories:

From the Item selection drop-down list, choose the items whose categories you want to modify among products, third parties, suppliers, members, contacts or users.

Select the filters to apply to refine your selection.
Click on the "Apply changes" button to refresh the display of the results.

Note: Products can be filtered by their quantity in stock and Portofolio allows you to modify their sales and purchase status.
The same applies to third parties whose status can be filtered and modified with Portofolio.

Onglets

Affectation des projets par utilisateur

Le but de cet onglet est de rapidement rajouter un utilisateur plusieurs projets et taches

Gestion du Turnover

Le but de cet onglet est de rapidement réaffecter les droits d'un utilisateur à un autre.

Pour gérer le turnover, il faut d'abord se positionner sur l'utilisateur qui va recevoir les nouvelles habilitations, puis aller sur l'onglet "portofolio turnover"

Il faut ensuite sélectionner l'utilisateur qui va servir de modèle et définir ce que l'on souhaite récupérer :

  • Les affectations clients (champs "commerciaux" sur la fiche Tiers)
  • Les droits utilisateur (onglet "Permissions" de l'utilisateur)
  • Les catégories de l'utilisateur (on positionne l'utilisateur dans les même catégories)

Il reste enfin deux cases à cocher à paramétrer avant de lancer la récupération des données :

  • Si l'on souhaite supprimer les droits de l'utilisateur modèle (utile dans le cas d'un départ mais DANGEREUX)
  • Si l'on souhaite préalablement effacer les droits existants de l'utilisateur recevant les droits
